Once migrated to the 2020 endpoints:
Set security for Student records, PASI, Responsible schools
When database update is run, and data is converted for the 2020 endpoints:
Responsible schools
Responsible schools will be brought in from PASI on the Initial synch
They can be seen on the enrolment page and can be seen in the PASI compare screen by accessing the responsible schools menu. Responsible schools in PASI will be synched automatically with SIS
Responsible schools added/ modified in SIS will be pushed to PASI when entered.
Important note: Responsible schools list comes from PASI list of schools and divisions
If the school does not exist, free form text will be accepted in the “School name” field
You can see that by populating the School name, the mandatory field warning on “Responsible school” disappears.
School Enrolments
Multiple enrolments can be seen on the enrolment page. These can now be managed from there as well. “The ADD icon has been removed from the “previous enrolments” card for AB users. These should now be managed via “multiple enrolments”.
**Created in error process has been deprecated. To remove a student's enrolment, which has been created in error, select that enrolment from the grid, and select Edit, and the trash can. That enrolment can only be deleted by the home school. Enrolments from other schools can only be managed by the school that owns that enrolment.
The current year’s enrolment is now an entry in the multiple enrolments card. If this entry is selected to be deleted, there is a warning. The enrolment can be deleted from PASI, but since it is the current Edsembli enrolment will still show in the multiple enrolments card.
Programming type field was split in the 2020 endpoints, into two fields to match PASI- Programming type, Programming time frame
Impacts Student records, Enrolment and Add new students
The dropdown lists are now populated with the PASI values, and the data in the existing field was mapped as follows:
Code | Registration type | Programming type | Programming timeframe |
C | Continuing Ed | Continuing Education | Day |
D | Regular | Regular | Day |
E | Continuing education night | Continuing education | Night |
N | Regular Evening Student | Regular | Night |
S | Summer School | Summer | Day |
T | Summer school evening | Summer | Night |
Citizenship:
Parent guardian citizenship can be consumed from PASI it if it exists in the PASI environment
The Parent/ Guardian citizenship dropdowns are populated by the values defined in Citizenship in PASI. Values will only be available in the dropdowns if defined in PASI.
Addresses
The following logic is being used to determine the Address type and format for all SIS addresses:
IF THE ADDRESS TYPE IS MAILING OR Mailing and Physical, set address type to mailing and then, set format as follows:
1. The country like '%United States%', set as 'Mail-US'-OK
2. The country is neither 'Canada' nor '%United States%', set as 'Mail-International' -OK
3. all others default as 'Mail-CA'
IF THE ADDRESS TYPE IS PHYSICAL, set the address type as Physical and the format as follows:
1. The country like '%United States%', set as 'Mail-US'
2. The country is neither 'Canada' nor '%United States%', set as 'Mail-International'
3. The country is 'Canada', with the province is 'AB', with any occurrence of Township, Meridian, Lot, SubLot, Concession, set as 'ATS'
4. The country is 'Canada', not 'ATS', with the province is 'AB', with any occurrence of RuralRouteNumber, Compound, Site, set as 'RuralAlbertaAddress'
3. all others default as 'Mail-CA'
ALL addresses REPORTED TO PASI must be set as EITHER Mailing or Physical
All addresses that are mailing or Physical must have an address format selected
The address format dictates the fields that will show as well as the fields that will be required in Edsembli in the edit page as well as in the PASI compare window
Example, ATS has different required fields than Canadian mailing. The required fields mirror the fields required in PASI
The map pin beside the Address format will map the address according to PASI’s mapping rules. If the user moves the map pin on the map, the longitude and latitude will be adjusted
The address details will NOT be adjusted.
All behaviour on the mapping and moving the pin reflect the PASI environment.
