Enrolment Reports 

Enrolment reports can help keep your data accurate. Running these reports monthly can help find any data errors before each of the OnSIS submission periods. Running these reports is similar, so by the end, you will be familiar with how to create them. Reports such as Homeroom Summary are for the Elementary panel and the Quad/Octo FTE Breakdown is for the Secondary panel.


1. Click 'Main Menu.'



2. Select the chevron on the 'Student Reports' option to expand the selections.



3. Select 'Enrolment.'



It is recommended to run all of these reports but the 'Quad/Octo FTE Breakdown' for the Elementary panel as that report is just for the Secondary panel.


4. Begin with the 'Grade Summary' report by selecting 'THIS YEAR' on the card.



5. The card will open to the 'Report Options.' The report will default to today's date. If you want to change the date, select the 'calendar icon.'



6. In this example, an OnSIS submission count date is chosen.



7. The option to 'Include Gender Breakdown' is available. In this example, it has been selected.



8. There is also an option to include 'Separate column for Special Ed.' In this example, it has been selected.

Looking to the right, there is another box 'Main school holder of OSR.' What is selected are the defaults. In this example, the default selections have remained the same.



9. At the bottom right-hand corner is the 'Floating action printer button.' Select this button to generate a PDF report. No other form can be generated.



10. A toast will pop-up showing your report request. Select 'OK' to acknowledge your request.



11. Select the 'Notifications Bell' to see the results of your report or go to the 'File Manager' to find your report.



12. Select the 'Grade summary' Completed.



13. Select 'Preview - Grade summary.pdf'



14. Below is an example of the 'Enrolment by Grade' report.



15. Click the 'back arrow' at the top left-hand side within Edsembli, to return to the list of Enrolment Reports or use the 'Close' button on the bottom right-hand corner.



16. The next report on the list is 'Age Summary.' Select the 'RUN' option on the card.



17. The card will open to the 'Report Options.' The report will default to today's date. If you want to change the date, select the 'calendar icon.'



18. In this example, an OnSIS submission count date is chosen.



19. The option to 'Include Gender Breakdown' is available. In this example, it has been selected.



20. At the bottom right-hand corner is the 'Floating action printer button.' Select this button to generate a PDF report. No other form can be generated.



21. A toast will pop-up showing your report request. Select 'OK' to acknowledge your request.



22. Select the 'Notifications Bell' to see the results of your report or go to the 'File Manager' to find your report.



23. Select the 'Age summary' Completed.



24. Select 'Preview - AgeSummary.pdf'



25. Below is an example of the 'Age/Gender Counts.'



26. Click the 'back arrow' at the top left-hand side within Edsembli, to return to the list of Enrolment Reports or use the 'Close' button on the bottom right-hand corner.



27. The next report on the list is 'Homeroom Summary.' There are two reports that can be generated. We will begin by selecting the 'AGE/GENDER' option first.



28. The report options on this card include the following: 'Homeroom' - you can either create for all homerooms or select individual homerooms. What is displayed are the defaults.

'Sort by' defaults is set to 'Room Number.' For this report, the selection is 'Designation' (the name of the Homeroom).



29. The 'Setup' option 'Other' allows you to select a month by using the pull-down.



30. Continuing on following the OnSIS October submission information, this report has been generated for October.



31. At the bottom right-hand corner is the 'Floating action printer button.' Select this button to generate a PDF report. No other form can be generated.



32. A toast will pop-up showing your report request. Select 'OK' to acknowledge your request.

38. The second report on the 'Homeroom Summary' can be created by selecting the 'ADMIT/RET' option.



39. The report options on this card include the following: 'Homeroom' - you can either create for all homerooms or select individual homerooms. What is displayed are the defaults.

'Sort by' defaults is set to 'Room Number.' For this report, the selection is 'Designation' (the name of the Homeroom).



40. The 'Setup' option 'Other' allows you to select a month by using the pull-down.

47. Below you will see the results of the 'Homeroom Summary (adm/ret.)



48. Click the 'back arrow' at the top left-hand side within Edsembli, to return to the list of Enrolment Reports or use the 'Close' button on the bottom right-hand corner.



49. Select 'RUN' on the 'Monthly Retirements' card to generate the report.



50. The default month will be the one that we are currently in. Use the pull-down to change the date.

The 'Include retirements after the last day of school' option is if you want to include students who have an exit date as of July 1st. You may want to include this information on the report you create the end of September.

The 'Program' options include the following: 'Regular program,' 'French Immersion' or 'Section 27.' If you have more than one program at your site, run this for each program.



51. Continuing on following the OnSIS October submission information, this report has been generated for October.



52. At the bottom right-hand corner is the 'Floating action printer button.' Select this button to generate a PDF report. No other form can be generated.



53. Select the 'Notifications Bell' to see the results of your report or go to the 'File Manager' to find your report.



54. Select 'Monthly retirements - Completed.'



55. Select 'Preview - MonthlyRetirements.pdf.'



56. Below are the results of the 'Student Retirements for the Month of October - Regular Program.' If your schools offer the other programs as well, you will need to create each report separately.



57. Click the 'back arrow' at the top left-hand side within Edsembli, to return to the list of Enrolment Reports or use the 'Close' button on the bottom right-hand corner.



58. To begin to generate the 'Monthly Admissions' report, select 'RUN.'



59. The default month displayed will be the one we are currently in. To change the month, use the pull-down.

The 'Program' options include the following: 'Regular program,' 'French Immersion' or 'Section 27.' If you have more than one program at your site, run this for each program.

67. Click the 'back arrow' at the top left-hand side within Edsembli, to return to the list of Enrolment Reports or use the 'Close' button on the bottom right-hand corner.



68. The 'Enrolment on a date' card is extremely important for OnSIS count dates. Select 'RUN" to generate the report.



69. The card will open to a page displaying 'Other' defaulting to today's date. If you want to change the date, select the 'calendar icon.'



70. In this example, an OnSIS submission count date is chosen.



71. At the bottom right-hand corner is the 'Floating action printer button.' Select this button to generate a PDF report. No other form can be generated.



72. A toast will pop-up showing your report request. Select 'OK' to acknowledge your request.



73. Select the 'Notifications Bell' to see the results of your report or go to the 'File Manager' to find your report.



74. Select 'Enrolment on a date - Completed.'



75. Select 'Preview - Enrolment on a date.pdf.'



76. Below are the results of the 'Enrolment on a date.' It gives the list of each student, their OEN, Enrolment Status and Board Resident Status. If any of the information displayed is incorrect, please go to Student Records > Enrolment and correct the information.



Tip: Tip! At the bottom of the report. You will see the total student counts.



77. Click the 'back arrow' at the top left-hand side within Edsembli, to return to the list of Enrolment Reports or use the 'Close' button on the bottom right-hand corner.



78. The 'Principal's monthly report' is another important report for keeping track of student information. To begin this report, select 'RUN.'



79. The default month displayed will be the one we are currently in. To change the month, use the pull-down.



80. Continuing on following the OnSIS October submission information, this report has been generated for October. The default will always be the current month.



81. At the bottom right-hand corner is the 'Floating action printer button.' Select this button to generate a PDF report. No other form can be generated.



82. A toast will pop-up showing your report request. Select 'OK' to acknowledge your request.



83. Select the 'Notifications Bell' to see the results of your report or go to the 'File Manager' to find your report.



84. Select 'Principal's monthly report - Completed.'



85. Select 'Preview - PrincipalMonthlyReport.pdf.'



86. Below is the 'Elementary Principals' Monthly Report.' It provides Admissions and Retirements as well as the 'Student Board Resident Status.'



87. Below is an example of what a Secondary Principal's Report could look like.



88. Click the 'back arrow' at the top left-hand side within Edsembli, to return to the list of Enrolment Reports or use the 'Close' button on the bottom right-hand corner.



89. The 'Part time students list' gives a list of students enrolled as part time students on a particular date. Select 'RUN' to begin the report.



90. The card will open to a page displaying 'Other' defaulting to today's date. If you want to change the date, select the 'calendar icon.'



91. In this example, an OnSIS submission count date is chosen.



92. At the bottom right-hand corner is the 'Floating action printer button.' Select this button to generate a PDF report. No other form can be generated.



93. A toast will pop-up showing your report request. Select 'OK' to acknowledge your request.



94. Select the 'Notifications Bell' to see the results of your report or go to the 'File Manager' to find your report.



95. Select 'Part time students list - Completed.'



96. Select 'Preview - PartTimeStudents.pdf.'



97. Below you will see the 'Part-time students list' for a particular date. If there were students displayed on this list, verify that the students listed should be part time. If the information is inaccurate, go to the Student Record > Enrolments and correct the data.



98. Click the 'back arrow' at the top left-hand side within Edsembli, to return to the list of Enrolment Reports or use the 'Close' button on the bottom right-hand corner.



99. The 'Quad/Octo FTE Breakdown report' is for the Secondary Panel only. It determines the correct student FTE for schools scheduled as Quadmesters or Octomesters based on the Ministry of Educations business rules.

Select 'RUN' to generate the report.



100. This report has many different options.

  1. Alphabet - this option will provide the report in an alphabetical order. There are other options in the pull-down menu that allows the report to be sorted by these additional options. These include grade, homeroom, group, defined character or cohort.

  2. Reported students - Three options are presented, Full-Time students, Part-time students, and Part-Time SAL students. If you have each of these types of students at your school or board, you will need to generate each one individually.

  3. Other options - In this area, users will be able to choose whether to 'Report on' 'School age students' or 'Adult students.' If you have both, you will generate each report individually.

    'Last date for the month of:' - This option provides the user with two dates which are OnSIS count dates, October and March. You can change the date if the count date ends on a weekend. Use the calendar to select the date.



101. Using the defaults, the report was created. Using the steps from previous reports to view the report, below you will see the results of the generated report. If this school was using Octamesters or Quadmesters to schedule their students, the FTE would be broken down in each column.
