Aide memoire – Before Year-end roll over (Transfer to current)

You have Initialize Next year and depending on your planification you did, you may have work through your Scheduling Next year to make the required adjustment as examples: 


IMPORTANT: DO NOT rerun Initialize next year if you have already done it .

 

  1. 1. Review your School schedule (Semester/Term & Day/Period), that you have the proper settings for the upcoming school year 

  1. 2. Courses, that you have all Courses who will be given next year 

  1. 3. Classes, that you: 

  1. a. add/remove classes that you will need 

  1. b. Verify the teacher’s name for each of them 

  1. c. Verify the Schedule, room and the Achievement profile for each of them 

  1. d. Verify your Master timetable, Room master timetable, Teachers master timetable 

  1. 4. Assigned the classes to the students’ timetable 

  1. 5. Homerooms, that you: 

  1. a. add/remove Homerooms that you will need 

  1. b. Verify the teacher’s name for each of them 

  1. c. Verify the Schedule, room and the Achievement profile (if applicable) for each of them 

Or, you will wait once your Transfer to current will be completed. 

TO REMEMBER 

Before to do your Year-end roll over (Transfer to current): 

Ensure that 

a. All Completed courses were added

b. All Report cards were printed 

c. All Attendance report were ran (if required)

d. Preferably any Ministry Reports are completed (OnSIS, OUAC, etc)

e. Archive attendance and Achievement was run

  • Then, open a ticket through SIS Support portal to request your Archives backup  

  • Ensure to have in hands your new School Year calendar with: 

  • Semesters and Terms dates 

  • List of your Holidays, PD Days, etc. 


For Alberta only:


When changing the Student status from "This Year only" to "This Year and next year" to be able to transfer the student records to the Next school year:


Ensure that in Class info > Grade info > the Next Year Grade is updated with the proper Next year Grade.
