Offence Declaration – Digital Signature Process Overview

GOAL: To educate and explain the changes that have been implemented for Digital Signatures under Portal > Offence modules. 

 

Portal > Offence > Declaration

 

Declaration > Declare Convictions

Choose New Offence, enter a Date, Court Location, Conviction and Comment

Once complete choose Ok to proceed. 

Once all Convictions have been declared, choose Next

Here you can see the new ‘Signature’ field. 

Type your Full Name and the field will generate what you type into a signature-like, cursive font as your digital signature. 

Once successfully completed > choose Sign to commit your changes. 

 

Declaration > Declare No Convictions

Choose ‘Declare No Conviction’ to Sign your declaration. 

Here you can see the new ‘Signature’ field. 

Type your Full Name and the field will generate what you type into a signature-like, cursive font as your digital signature. 

Once successfully completed > choose Sign to commit your changes. 

 

Declaration > View Declarations

Once you have signed your Declaration and saved your changes, users can choose View Declarations to review your entries. 

Here you can configure the year in which you want to review. In this case, 2023 is chosen. 

**Here you can view your declaration with your Digital Signature included**

 

Declaration > Print Current Declaration

Choose Print Current Declaration to open a separate window in your Web Browser to view and Print your Declaration. 

 

 

Added Configuration

Portal > Settings > Board > Offence Declaration

NEW CONFIGURATION: Note the ‘Allow Offence Declaration on Behalf of Others= T/F configuration that has been added. 

**This configuration will be set to False as default** 

IF FALSE à Then under Offence > Review > Action Icon > New will not be allowed

IF TRUE à Users with access to Offence > Review can create New Offence Declaration on behalf of others. 

 

Portal > Offence > Review

Search for the desired Employee Declaration record by using any of the fields to filter results. 

Choose the action icon > Edit > Modify

**Here you can see the Declaration can be modified, with the exception of the Digital signature**

 

Note: If Allow Offence Declaration on behalf of Others = True users can choose the Action Icon and then New
