Mass Update Position Control Overview
GOAL: To provide a wholistic overview of how to mass update
Prerequisite Verification
If the new OPC Position ID’s require a new Absence Group, Union Code or Contract Code (as seen below in Position Control) ensure these are created under Miscellaneous Codes Maintenance.
BOARD CONTROL > GENERAL TABLES > MISCELLANEOUS CODES MAINTENANCE
**Code Type = AG = Absence Group**
**Code Type = EU = Union Code**
NOTE: Or if these fields are currently blank, it is recommended to populate these fields so that 1) when you Mass Update Position Control these fields carry over, and 2) these fields are automatically populated when you create new Position Records.
OPC MANAGEMENT > POSITION COTROL
**Populate Absence Group, Contract Code and Union Code**
Note: These fields are safe to update these are not retroactive fields.
The key is updating all necessary fields here before using Mass Update tool to save workload downstream.
ADDITIONAL NOTE: If New Absence Group Codes are required, you must complete the Setup under both Absence Accounts and Absence Groups before updating Position Control and using the Mass Update Position Control.
- Ensure Absence Accounts is 100% complete before moving into Absence Group configuration
The key here is to have Absence
PROCESS OVERVIEW:
OPC > Mass Update Position Control
Determine the Job Code or variable you want to change based off > Can use % to include anything after part of search
**Wildcarding the Search Variable is optional, this may help you find results much faster and easier – but is not mandatory to use**
Note: Analyze your Job Codes and Employee Groups to understand what we want to change
Example: you wanted to search all EA Jobs, and create a Copy of this with a new EMP_GROUP for EA itself.
**Field to Update = GROUP, New Value = EA**
Ensure the Effective Date reflects the First Date of desired Pay Period, OR the First Day of New School Year.
IMPORTANT NOTE: Only use the Y + Change Submit Indicator if you want to update ALL of the above need the same change.
Alternatively, if you only need to run for a handful of records on the top
**Ensure you always run Submit Mode = Trial before running in Update mode**
IMPORTANT NOTE: Always choose SAVE before running the process, once all configuration is complete.
Note: Usually when using this module, you want to create New OPC Record = Yes as the desired outcome is to fast track creating bulk new OPC Position IDs.
