HRP New School Year Configuration
GOAL: To provide a wholistic overview of the setup, configuration and updates required to successfully transition into new school year workflows.
BOARD CONTROL > COMPENSATION > SALARY GRIDS
**Create new Year Salary Grids and Category Codes required with updated values**
PAYROLL > GROUP DATA > PAY PERIOD CALENDAR
**Create new school year Pay Period Calendar for each Employee Group**
PAYROLL > GROUP DATA > GROUP EXCEPTION CALENDAR
**Create new school year Group Exception Calendar**
Note: Complete this for ALL Calendar Codes. This way all EMP_GROUPS will have an updated Exception Calendar no matter which Calendar Code is assigned under Basic Group Data.
PAYROLL > GROUP DATA > ACCUMULATOR SCHEDULE
**Configure Group Accumulators for each EMP_GROUP**
IMPORTANT NOTE: Different groups will have different Group Accumulator setup. Records entered here will vary between Employee Groups.
Example: Typically, teachers are not legally obligated to have Vacation (neither Vac Pay in Accumulators or in Absence Accounts) as the time off over the summer is basically treated as Vacation.
STAFFING > POSITION AND ASSIGNMENT
**End Date > Duplicate to create new year Position Records**
COMPENSATION > SALARY AND ALLOWANCES
**End Date > Duplicate to create new year Compensation Records**
STAFFING > STAFFING REPORTS > SENIORITY SERVICE ALLOCATE
BOARD CONTROL > COMPENSATION > SALARY AND ALLOWANCE UPDATE
**Process the Salary and Allowance Update for Employee Groups**
PAYROLL > PAY PROCESS > ENTITLEMENT
**Process Entitlement for ALL Employee Groups after all the changes completed above**
PAYROLL > PAY PROCESS > GROUP AUTHORIZATION
**Review the calculated changes generated from Entitlement and verify against expectations**
PAYROLL > PAY PROCESS > SCHEDULE GROUPS
**Schedule Employee Groups included in the first Pay run of School Year**
PAYROLL > PAY PROCESS > PAY RUN
**Verify all Entitlements, Position and Salary Updates are reflected in Pay Register**
