G/L Account Deactivation

ISSUE: Questions regarding the ramifications surrounding G/L account deactivation


Questions: 

  1. When we choose to “Deactivate” an account in the system, is there any impact on our year-end process (i.e., does a deactivated account still roll over)?
     
  2. If we query it in the future, are we still able to view the historical data for the account before it was deactivated, or do we lose the historical data?
      
  3. If we go to recreate the same account in the future, will we run into any issues?

 

Responses:

  1. There will be no impact on year end.  Everything will function as expected.  However, the deactivated account will not be created in the new year – both Create New Chart of Accounts and Year End will avoid the recreation of deactivated accounts.  The only exception to this is if the account is needed to hold a carried-forward balance.
     
  2. There will be no loss of historical data – Budget Query will still display data for the account in those previous years.
     
  3. Recreating an account using the same G/L number in future years is totally acceptable.  The system will find that G/L number behind the scenes from previous years and attach the new account to that base record.  In reality, it would be the same as if you had never deactivated it and decided one year to give the account a new name and repurpose it.
