How to Make Hours on Exception Timesheet Insurable
GOAL: How to make Hours/Days (units) and Earnings from Exception Timesheet accumulated and indexed within HRP to become Insurable.
Example EI Report > EID with EI Hours/Earnings = 0.00 Records
**Records with 0.00 will tip you off to investigate these records**
Trace the EI Hours and EI Earnings = 0.00 into EI Adjustment where they were entered.
PAYROLL > PAY PROCESS > EI ADJUSTMENT > EID
**We see the 0’s are under JOB CODE = SPECPRGM**
Note: Ensure the appropriate Start/End Date range is configured.
STAFFING > POSITION & ASSIGNMENT > EID
**Note the Summer Program is 0 FTE > Therefore the Exception Timesheets used**
Here we can trace Dates to Timesheet Query.
PAYROLL > PAY INPUTS > TIMESHEET QUERY > EID
**Here we can see Earning Code = SUMMPRVP for SPECPRGM records**
PAYROLL > GROUP DATA > OT & SHIFT RATE
**SUMMPRVP Earning Code is not there – Hence the earnings not being included in ROE tables**
In order for the EI Hours/Earnings to be included in the ROE Tables during the pay run, the Earning Code needs to be setup in the Payroll > Group Data > OT & Shift Rates module
- Called ‘Overtime Code’ field above
SYSTEM FUNCTIONALITY: The Earning Codes do not automatically feed because it’s not guaranteed that these earnings should be accumulated and indexed as Insurable.
NOTE: If the Earning Code is not available under the Overtime Code field, it can be configured under the below.
PAYROLL > BOARD > OTHER PAYMENTS CODE > OTHER PAYMENTS MAINTENANCE
However, in most cases this will already be defined, as this is required to process Exception Timesheets using this Earning Code.
