How to Assign Locations Based Permissions

GOAL: To provide an overview of how to assign permissions to users on a per-location-basis. This allows school level users to have any desired level of permissions, but only for the appropriate location. 

 

The below displays both Employee and Group level approaches to distributing Location based permissions. 

The approach chosen should depend on the scope of Employees you wish to assign this to. 

 

Employee Group Level:

System > Security > User Group Management > Search

Action Icon > Modify

Configure Location Access = Custom. This will unlock the ‘Locations’ field to configure specific Locations for Access. 

Choose the Select Icon to select the desired Locations

**Choose the desired location and then Select to finalize your choice**

**Note the Location field now displays the Location based permission selected**

Once you are ready to commit your changes to system memory, choose Save to update the group permissions. 

 

Alternatively, choose the very top checkmark to Select All items under the Current Page

Note: This ‘Select All’ will only choose the items under the Current Page. 

Notice the current Page Size = 10, this means the top checkmark will Select All 10 items. 

  • Configure a larger Page Size to select more items at once. 

**Note the Location field now displays the Location based permission selected**

Once you are ready to commit your changes to system memory, choose Save to update the group permissions. 

 

ADDITIONAL NOTE: Should you ever need to confirm the Employees that belong to a certain group you are assigning permissions to – choose the ‘Users>>’ hyperlink

Once chosen this will populate a list of the Employees which belong under the associated group. 

Once finished, simply choose the ‘Users<<’ hyperlink to minimize the list and return to normal module layout. 

 

Employee Level:

System > Security > User Management > Search

Choose the Action Icon > Modify for the desired Employee ID from the table to edit User Permissions. 

**Notice here we can confirm the Employee has both Enabled = Y and Access End Date = NULL (or Future Date) configured to confirm they have Active Access**

Notice Location Access = Inherited and needs updating to Custom in order to unlock the ‘Locations’ dropdown field

 

Configure Location Access = Custom. This will unlock the ‘Locations’ field to configure specific Locations for Access. 

Choose the Magnifying Glass to select the desired Locations

**Choose the desired location and then Select to finalize your choice**

Alternatively, choose the very top checkmark to Select All items under the Current Page

  • Configure a larger Page Size to select more items at once. 

 

Once you are ready to commit your changes to system memory, choose Save to update the user permissions.
